Your data, clearly explained

Privacy Policy

ApplyPilot Technologies (ApplyPilot, we, or us) provides the ApplyPilot iPhone app and this website. This policy explains what data is handled when you use them.

What we handle

Account information

When you create an account, we process your email address, authentication credentials, session information, and account identifiers through Supabase. We do not receive your password in readable form.

Application and career information

Job applications, notes, contacts, dates, goals, career preferences, Resume Profile, saved Adaptive Resumes, recent searches, and similar planning information are stored in the app’s local data store on your device. They may be included in device backups you control through Apple. ApplyPilot does not currently synchronize those records to our servers.

Job searches and official applications

When you search, ApplyPilot sends the job title, optional company, location terms, and requested radius to our authenticated search function. The function requests results from Jooble, Careerjet when enabled, USAJOBS when enabled, and available public employer sources. Those providers receive the search terms and normal technical information needed to serve the request. Careerjet also requires the requesting IP address and user-agent to authorize and return a user-initiated search; ApplyPilot forwards those values transiently and does not store them. When you choose to apply, ApplyPilot opens the employer’s or USAJOBS’ official application page; the employer, USAJOBS, and their recruiting providers handle anything you submit there under their own policies.

Interview Intelligence

If you request public interview research, ApplyPilot sends the company name and role to our authenticated Supabase function. The function sends that request to OpenAI for source-linked web research with response storage disabled. It does not send your application notes, contacts, interview date, or career profile. We keep an account identifier and request timestamp to enforce membership limits; paid-plan records use a rolling 30-day window, while a Free plan’s one-time usage record remains until account deletion.

Adaptive Resume

If you request an Adaptive Resume, ApplyPilot sends the target company, role, location, available job description, and the professional facts you entered in Resume Profile to our authenticated Supabase function. The function sends that request to OpenAI with response storage disabled. Your name, email, phone number, street address, LinkedIn URL, and website are not sent for generation; the app adds contact details to the finished document locally. Generated drafts remain on your device. We keep an account identifier and request timestamp to enforce membership limits; paid-plan records use a rolling 30-day window, while a Free plan’s one-time usage record remains until account deletion.

Free-offer protection

To prevent repeated one-time AI trials across multiple accounts on the same supported device, a confirmed-email Free account may send an ephemeral Apple DeviceCheck token to our authenticated function. The token is used only to read or update two Apple-maintained eligibility flags—one for Interview Intelligence and one for Adaptive Resume. ApplyPilot does not store the token or a device identifier; it stores only that device verification occurred. Paid accounts do not require this free-trial check.

Optional notifications

If you enable Career Agent match alerts, ApplyPilot stores an Apple push-notification token and the minimum search preferences needed to check for matching jobs: selected role terms, location terms, remote preference, and radius. The server periodically checks supported job sources and sends a summary through Apple Push Notification service. A short delivery history is retained for up to 90 days to avoid duplicate alerts. Allowance and membership reminders are scheduled on your device and do not require your billing details to be sent to Apple. You can turn each notification category off in Settings, and account deletion removes associated server-side notification records.

Support

If you email us, we receive the address and contents you choose to provide so we can respond and maintain a support history.

How we use data

  • Provide authentication, job-search, planning, export, reminders, and interview-preparation features.
  • Protect the service, enforce reasonable usage limits, troubleshoot failures, and prevent abuse.
  • Respond to support requests and meet legal obligations.

Sharing

We use service providers to operate specific features, including Supabase for authentication and server functions, Jooble, Careerjet when enabled, and USAJOBS when enabled for user-requested job searches and optional Career Agent checks, OpenAI for user-requested Interview Intelligence and Adaptive Resume generation, and Apple DeviceCheck for one-time Free-offer eligibility and Apple Push Notification service for alerts you enable. We do not sell personal information, run third-party advertising, or track you across other companies’ apps and websites.

Retention and deletion

Your local records remain until you delete them, delete the app, or restore your device in a way that removes them. You can export or delete application records in Settings. “Delete Account” removes your ApplyPilot authentication account and associated server-side usage records, then removes that account’s local application records from the device. Support correspondence may be retained as reasonably needed for support, security, and legal records.

Security

We use safeguards appropriate to the data and service, including authenticated server functions and encrypted network connections. No method of storage or transmission can be guaranteed completely secure.

Your choices

You may decline notifications, avoid optional AI features, review every generated resume, delete saved Adaptive Resumes, export your applications, delete local records, or delete your account in the app. To ask a privacy question or request help, email info@applypilottech.com.

Children and changes

ApplyPilot is for people legally able to use a job-search service. If local law requires a parent or guardian’s consent, you must obtain it. We may update this policy as the product changes; the effective date above will identify the current version.
