How to organize your job search
If you keep reopening the same tabs or cannot remember whether you applied, the missing piece may be a reliable list. Start with a notebook, a spreadsheet, or an app you will actually return to.
Keep the fields that help you act
Record employer, role, location, original posting URL, status, application date, next action, and next-action date. Add notes only when they will help you make a decision or prepare a conversation. Avoid turning your tracker into another project.
Use statuses with clear meanings
Saved means you are still considering the role. Applied means you submitted an application. Interview means a conversation is scheduled or underway. Offer means an offer has been received. Closed means the opportunity is no longer active for you. Adjust the labels if your process needs something different.
Give every active role a next action
Replace vague notes like ‘follow up’ with a concrete task such as ‘review employer instructions before contacting the recruiter.’ Use the employer’s stated timeline when available. A reminder is useful only when it points to an appropriate action.
Review before searching again
At the start of a session, check deadlines and incomplete applications. Update outcomes before adding more roles. Once a week, remove opportunities you no longer want and identify where a missing detail is blocking your decision.
Keep your records safe and truthful
Use original employer links and distinguish your own notes from confirmed facts. Do not put passwords, identity documents, or confidential employer information in a shared tracker. The downloadable template is blank so you can choose what to record.
